Private Lesson Policies and Practices
Lessons and Reserved Lesson Times: All lessons are private and are generally offered in durations of 30 or 60 minutes, although select teachers do offer a 45 minute lesson option. Every effort is made to schedule a lesson on a day and at a time convenient to the needs of the student. Once that time has been agreed upon, it becomes the responsibility of the student to attend at that specific time each week.
Enrollment Agreement: Before any lessons can begin, a signed and dated registration and enrollment agreement must be returned along with a registration fee of $40.00 per student ($50 for family enrollment) before the first lesson.
The Teaching Year: For the sake of convenience to our students, the teaching year closely models the calendar of most public and private schools. There are a total of 36 possible lessons over a nine month period, beginning mid-August and ending late May. Students may begin lessons at any time. Once lessons are started, enrollment is considered to be for the academic year. The total number of lessons a new student receives will be less than 36 if they start later in the school year- the tuition for the lessons is prorated based on the remaining number of lessons in the year.
Summer Session: During the summer, our regular school year is suspended to accommodate summer activities and family vacations. We do offer an eight week long summer session in June and July for those students who desire to continue lessons, though spots and teacher availability are limited. Please contact the office to inquire about availability.
Tuition: Tuition is payment for each student’s course of study and reserves that student's exclusive lesson time for the duration of the year. It is not refundable under any circumstance and cannot be transferred without written consent. Tuition is paid monthly and is based on 36 weeks of study, not on the number of lessons in each given month. Tuition is paid in monthly installments and is calculated by multiplying the per lesson rate by the total number of lessons remaining in the teaching year -this is the total annual tuition commitment. That is then divided by the number of months remaining in the billing year to determine the student's monthly tuition installment. There is also the option to pay the entire annual tuition in full or quarterly. The party responsible for payment will receive a monthly invoice reflecting their tuition amount via email. The invoice and monthly balance will also be available to view through the student/parent portal.
Forms of Payment: Tuition may be paid by check, cash, Zelle, electronic bank transfer online (no convenience fee) or credit card online (3% convenience fee).
Late Payment or Failure to Pay: Tuition installments are due by the 1st of every month. Payments received after the 10th of the month will be considered late and a fee of $25.00 will be attached to the following month’s invoice. Failure to pay by the 20th day of the month will result in immediate suspension of lessons and a loss of reserved lesson time. Deliberate non-payment of any amount will be turned over for collection and relevant collection fees will be added.
Returned Checks: Checks returned by the student’s bank or any other financial institution due to non-sufficient funds or for any other reason must be replaced by an alternative form of payment no later than 5 business days from the date of notification. In addition, a service fee in the amount of $25.00 will be attached.
Attendance: Consistency is vitally important when learning to sing or play an instrument. With that in mind, the student’s lesson time will be observed conscientiously, and it is assumed that the student will make it a priority to attend every scheduled lesson at the time agreed upon. Therefore, missed lessons will not be rescheduled to accommodate activities that conflict with the student’s regularly scheduled lesson. This policy is consistent with those of sports teams, dance programs, and camps. As a courtesy to others, students who are involved in school or community activities such as theater, choir, etc. must list their lesson time as a recurring commitment. Please note: A lesson will not be extended beyond the scheduled lesson appointment when the student arrives late. No-shows are considered forfeit and no adjustment or reduction in tuition is possible.
It is the responsibility of the parent or adult student to be aware of all Leopold School activities, such as recitals, extra classes and dates the school is open or closed. The school will post all such notices on the website as well as via email. The school is not responsible for providing before or after class care for students and we ask that parents be prompt when picking up their children. Safety for our students is of the utmost concern. Please do not leave any children unattended outside the studio. Please escort young students to and from the building. For the safety of our students, we do have security cameras installed in each studio room as well as observation windows on doors. Parents/family may sit in on private lessons as long as they observe quietly and do not interrupt/disrupt the flow of the lesson. If a health condition exists which will prevent full participation, please notify us in writing as soon as possible, this includes allergies. Please notify the Leopold School if your child will be allowed to leave the studio with anyone other than a parent/guardian.
Student Cancellations: If a lesson must be missed or canceled, a notice of at LEAST 24 hours must be reported to your teacher or through the business office to become eligible to schedule a make-up lesson. No tuition credit will be given for canceled lessons. No-shows forfeit their lesson.
Make-Up lessons: Make-up lessons are scheduled according to the teacher’s availability and discretion and we ask that they are kept to a minimum throughout the year. They are strictly limited to only one per calendar quarter (one make-up every three months, three total per school year) once you meet the 24 hours notice requirement. Teachers will have designated make-up lesson availability each month, and it is the student’s responsibility to sign up for a make-up lesson time that works for them. All make-up credits expire June 30th.
Make-up lessons may be scheduled by logging onto the student portal (https://www.theleopoldschool.com/student-portal.html), by going to the calendar and signing up for an open time and day on your teacher’s schedule that works best for you. Make-ups can also be scheduled at the front desk when the reception is open or via our office email [email protected]. Any no-shows on a make-up lesson forfeit the lesson and that make-up credit. We cannot make-up a make-up lesson.
Teacher Cancellation: In the event that the teacher must miss or cancel a lesson, a make-up lesson will promptly follow. If a make-up lesson is simply impossible due to their schedule for whatever emergent circumstance, a tuition adjustment will be made and applied as a lesson credit on the following month's invoice or a substitute will be provided.
Termination: If it becomes necessary to withdraw from lessons, written notice must be received 30 days prior to cancellation. Any remaining balance owed by the students prior to the date of termination will be calculated and sent out in a closing invoice. Students may be reinstated after termination only if their account shows no outstanding balance and by paying a fee of $25.00. The Leopold School of Music reserves the right to terminate or suspend lessons at any time.
Summer Break/Holidays: The studio’s breaks closely align with most public and private school calendars. We are closed for lessons for Labor day, Thanksgiving, winter break, and spring break. Students will not be billed for these scheduled breaks. Please refer to the school calendar for this year’s dates.
Mainstage Recitals: Students are encouraged to participate in recitals, but never required to perform. We have a spring recitals, and a Christmas/Fall/Winter recitals every other year. Participation in recitals is offered to those who have met the eligibility requirements which are as follows:

- A recital fee of $60.00 has been paid at least two weeks prior to the date of the recital.
- The student is current on all tuition installments and fees
- The student has studied for no less than six months, and the teacher feels it would be beneficial
- All music to be performed has been memorized (voice only)
- The student appears in proper recital attire

If your child wishes to withdraw you must notify the office with thirty days notice, or you are responsible for that month's tuition.
Withdrawing from Group Lessons
You must notify the studio in writing thirty days prior to your upcoming tuition payment. You will be responsible for the next payment if you do not give a thirty-day written notice. Please be aware that no prorating or refunds will be issued due to withdrawing from classes.

All students should arrive to class on time. Teachers reserve the right to dismiss any excessively disruptive students from class. The school reserves the right to provide a substitute teacher if the regularly scheduled teacher is ill or otherwise unable to teach classes. No refunds or prorated tuition are given for missed classes. If a teacher is ill and the school cannot arrange a substitute, the missed class will be made-up. Classes with less than the designated minimum required for each class may be canceled, combined, or rescheduled at the discretion of the Leopold School of Music.
It is the responsibility of the parent or adult student to be aware of all school activities, such as recitals, extra classes and dates the school is open or closed. The school will post all such notices on the website as well as via email. The school is not responsible for providing before or after class care for the students and we ask that parents be prompt when picking up their children.
